Large groups and multi-location events need even more runway. Coordinating coffee service across multiple departments, campuses, or locations involves logistics that can't be rushed — staffing, equipment, roasting schedules, and travel all need to align. For anything involving more than one location or 50+ people, I'd recommend reaching out 4–6 weeks in advance minimum.

3. Pick your date first. Your event doesn't have to fall on the exact appreciation day — just close enough to feel intentional. Flexibility on the date opens up more availability.

4. Tell your team ahead of time. The anticipation is part of the experience. A simple "we have something special planned for you" goes a long way.
